Invitations

An invitation is the email with which a PM gives someone access to PjMan. This page brings together all the types, what the person receives, how it is accepted and what to do when it does not arrive or no longer works.

PM

Only a PM account invites, resends and cancels. The person who receives the invitation only has to accept it.

Types of invitation

In all three cases the resulting account role is always Consultant/Developer; the team role is independent (see Roles and access).

The confirmation email you receive when you sign up yourself is not an invitation (see Registration and first sign-in).

What the person receives

An email with a link to activate their account. It is always in English, whatever language you are using PjMan in: sign-in emails are generated by the authentication service from a single set of templates. PjMan stores your language alongside the invitation in case they are ever translated, but today it does not change the text.

How it is accepted

  1. The person opens the link in the email. They see Activate your account and, first, an intermediate screen: “Confirm that you want to continue to activate your account.”. They press Continue. (This step stops an antivirus or email previewer from using up the link before they do.)
  2. They fill in Full name, Password (minimum 8 characters) and Confirm password, and press Activate account.
  3. They enter PjMan, on their home screen: My work if they are a Consultant/Developer, or the Organisation dashboard if they were invited only as a “whole organisation” member.

Form errors: “Fill in all the fields.”, “The passwords don't match.” and “The password must be at least 8 characters long.”.

On acceptance, everything pending for that email in that organisation is activated: the organisation and project rows in Invited status become Active and, if there was a person without an account with a pending invitation, their history (tasks, issues, time entries and teams) is transferred to them; see People. The new account's language is that of the page on which they accept.

Problems when opening the link:

Message What is happening What to do
“This invitation link is invalid or has expired. Ask your PM to invite you again.” The link has already been used, has expired or is incomplete. The PM presses Resend invitation.
“This link was opened in a different browser or device from the one you used the first time (for example, in your phone's email app). Open it in that same browser. If you can't, ask your PM to invite you again.” The link needs the same browser it was requested from. Copy the link into the usual browser, or resend.

Expiry

PjMan does not put an expiry date on the invitation: the “Invitation sent to …” label or Invited status lasts until it is accepted or cancelled. What expires is the link in the email, and its validity is decided by the authentication service, not PjMan; it is limited and single-use. If it has passed or never arrived, resend the invitation.

If the email already has an account

No invitation is sent: the person is registered instantly.

The email already has an account in… Result
Your organisation The existing account is linked (to the person or to the organisation role). If it is a person without an account, their history is transferred and a notice with the counts is shown.
Your organisation, but that account already corresponds to another person Rejected: “That email belongs to an account that already matches another person on your list. Use a different email or delete the duplicate person.”.
Another organisation A new membership is created in yours (Consultant/Developer) and the other one is left untouched. The person will see the organisation switcher (see Several organisations).

Resending an invitation

Use it when it did not arrive or the link no longer works. It sends another email to the same address and counts towards the sending limit.

  • In People: Resend invitation button on the row (with the label “Invitation sent to …”). Notice: “Invitation resent to ….”.
  • In Organisation members: Resend invitation button on Invited rows.

With no pending invitation: “This person has no pending invitation.” or “This member has no pending invitation.”.

Cancelling an invitation

  • People: Cancel invitation and confirm (“Cancel the invitation sent to …? The person will stay without an account and you can invite them again.”). They go back to being a normal person without an account; you can invite them with the same email or another. It is also the way to correct a wrong email.
  • Organisation members: Remove on the Invited row.

Other rules

  • A person without an account who has a pending invitation cannot be given another: “There's already a pending invitation for this person.”. An organisation member neither: “There's already a pending invitation for that email in this organisation.”.
  • If you delete a person with a pending invitation (as long as they have no work), the invitation stops having any effect, just as when you cancel it.
  • The email must be valid: “Enter a valid email.”.
