PjMan Project Management

Daily AI analysis of projects

When you run several projects, the hard part is not having the data: it is deciding each morning what to look at first. A task a week overdue, a risk with no plan, a change request nobody decides or a growing hours deviation go unnoticed among hundreds of records. PjMan's daily analysis reviews your projects for you and leaves you a short, prioritised list of recommendations, each with its reason and the records it comes from. It executes nothing on its own: you decide.

What you get each day

A block on the Projects screen (with all your projects) and on each project's summary (just that one), with up to eight suggestions per project, ordered by priority: high, medium or low. (Daily suggestions)

Each suggestion carries:

  • An actionable sentence. What is worth doing today: "Unblock T0004 before it drags F002 along".
  • The reason, with data. Why it is suggested: "T0004 has been six days overdue and is blocked by T0002". No adjectives or vagueness.
  • The origin. Chips with the code and title of the tasks, phases, issues, risks, change requests, expenses or communications it is based on; click one to go to the record. Origins are checked on the server: only real records of that project appear, and the code and title are read from the database, never from what the model wrote.

Suggestions are based on the project's real state: overdue and blocked tasks, dependencies, open risks and issues, change requests, hours and expense deviations, the comments of the last few days and whether you acted on earlier suggestions. If there is nothing relevant, it may return an empty list: it does not invent data.

What you do with each suggestion

  • Do it with the assistant. If the suggestion proposes something the assistant knows how to do in PjMan (create a task or a phase, assign, change a status, a priority or labels, record a risk, an expense or some hours…), this button appears. The assistant opens and presents the action on a confirmation card, or several in a batch. It always asks for confirmation, even if you have turned off confirmation for creating: nothing happens until you press Confirm, and if you cancel it, the suggestion stays pending. Once executed, the suggestion becomes Addressed with a link to what was created or changed. (Do it with the assistant)
  • Ask the assistant. Opens the panel with the suggestion attached so you can ask for more detail or turn it into tasks.
  • Mark as addressed. For what you resolve yourself. The next analysis takes it into account and does not propose it again.
  • Discard. Deletes it for good, after confirming.

A suggestion that cannot be done inside PjMan ("talk to the client about scope") has no button: just reason and origin.

When it is generated

  • Automatically, once a day per project, early in your morning (according to your time zone), if you have the automatic analysis on. Closed projects are not analysed.
  • By hand, with Generate analysis now, in the general block (all your projects) or in a project's. When regenerating, only today's pending suggestions are replaced; those you already marked as addressed are kept.

Safe by design

An assistant that proposes and executes actions has to be well tied down. These are PjMan's rules:

  • The model is not in charge. Its reply is a structured format validated on the server; whatever does not comply is discarded. A suggestion without a verifiable origin is shown just as text.
  • Other people's text, as data. Comments and content written by third parties are treated as information, never as instructions.
  • Always confirmation. Nothing that comes from a suggestion is executed without your confirmation card.
  • With your permissions. The button only appears to the project's owning PM, and everything runs with their permissions, as if you did it by hand.
  • No model switching behind your back. The analysis uses the model you have chosen; if it is not available, it tells you and offers to change it in Settings.

Which model it works with

The analysis always follows the model you have chosen in Settings → Assistant: the free model (no cost and with a daily quota, after accepting its privacy notice and ticking its daily-analysis box) or your own provider key, which is stored encrypted and used only for your requests. With your key, consumption goes to your account, and the usage card in Settings shows what the last analysis cost. (Assistant model)

Beyond the suggestions

The assistant also answers, when you ask, "how is this project going?", "when will we finish at this pace?" and "which projects are doing worst?", with figures PjMan calculates, and can write the draft of the client status report. (Client status report, Reports and queries)

Who it is for

It is a PM feature: the analysis covers the projects you own, and you never see or generate suggestions for another PM's projects. Consultants and management do not see the block. In the public demo it is turned off.

Try it

Create your account, create a project with a few tasks, turn on the assistant in Settings and press Generate analysis now. To see the assistant at work first, explore the demo.
